Persons

 

 

Persons are individuals that can be considered by Eritrium users as customers. Customers understood as persons can purchase our products and services and later on can ask us for support of any kind. Eritrium records all the information related to customer so users can easily find out what they bought, what assets have installed in their sites, which are the service agreements with them, how many times they have reported problems, and so on.

 

Persons are groups and or companies that can be considered by Eritrium users as:

 

Customer

Suppliers

Manufacturers

Partners

Competitors

Internal Users

The Persons form shows all the data available in the system for him, grouped in different tabs. From the main window options tree menu, navigate to "Customers / Contacts -> Persons". The system will display all the persons created.

The information managed by this window is:

 

Contact:

Code: Identification code for the person generated by Eritrium

Active: State of the person.

First Name: Name of the person.

Last Name: Last name of the person

Title: Title of the person.

Mail: Primary email.

Customer Code: Code generated internally by Eritrium the first time the person purchase a product.

Government Id number: Legal /local identification number.

Primary Phone: Primary phone of the person

Organization: The organization to which the person belongs if any.

Department: Department of the organization to which the person belongs, if any.

Job Title: Role of the person in the organization where he belongs, if any.

Sales Manager: The sales person associated to this customer.

Service Manager: The responsible of the service to the customer.

Segmentation:

Relation: This is the kind of relation between the person and us. To define the different options for relations, see Lookup Tables.

Industry: This is the kind of industry where the persons belong to. To define the different options for Industries, see Lookup Tables.

Territory: It's the area where the person is located. To define the different territories, see Lookup Tables.

Supplier: Checked if considered as a supplier.

Competitor: Checked if considered as a competitor.

Manufacturer: Checked if considered as a manufacturer.

Partner: Checked if considered as a partner of any kind.

Configuration:

Invoice To: Organization to send invoices if it I the case.

Payment Term: Payment term for the person as defined in look up tables.

Payment Type: Payment type for the person as defined in look up tables.

Shipping Type: Shipping type for the person as defined in look up tables

Shipping Company: Shipping company used to transport merchandizes.

Credit Limit: Credit limit for the person when treated as a customer.

Primary Bank Account: Primary bank account for the person.

Addresses:

Business Address: Main Address.

Billing Address: Address to send invoices.

Shipping Address: Address to ship purchased products.

Other Contact Info

ISDN: ISDN identification

Primary phone: Phone that will be used by the rest of Eritrium objects.

Sales Opportunities: List of Sales Opportunities generated for the person. By doing double click on any of them, Eritrium will open the related sales opportunity details form. See Sales Opportunities Management for more information.

Quotations: List of quotations generated for the person By doing double click on any of them, Eritrium will open the related quotation details form. See Sales Quotation Management for more information.

Sales Orders: List of sales orders generated for the person. By doing double click on any of them, Eritrium will open the related sales order details form. See Sales Sales Order Management for more information.

Invoices: List od invoices generated for the person. By doing double click on any of them, Eritrium will open the related Invoice details form. See Sales Invoices Management for more information.

Trouble Tickets: List of trouble ticket generated for the person. By doing double click on any of them, Eritrium will open the related Trouble Ticket details form. See Trouble Ticket Management for more information.

Documents: List of documents associated to the person. By doing double click on any of them, Eritrium will open the related document details form. See Document Management for more information.

Mails: List of all the mails sent to the person using Eritrium. By doing double click on any of them, Eritrium will open the related sales opportunity details form. See Mailing Management for more information.

Phone Calls: List of phone calls logged for the Person. By doing double click on any of them, Eritrium will open the related Phone call details form. See Phone Call Management for more information.

 

From the persons form the following actions can be performed:

 

Supplied Products: Opens the products management form for the products supplied by the person

Manufactured Products: Opens the products management form for the products manufactured by the person (when treated as a manufacturer)

Addresses: Opens the Addresses Management Form for the person.

Bank Accounts: Opens the Bank Accounts Management Form for the person.

Add Sales Opportunity: This option will generate a new sales opportunity for the person.

Create Quotation: Eritrium will generate a new quotation for the person even if there is no open sales opportunity generated.

Add Sales Order: Eritrium will generate a new Sales Order for the person even if there is no sales opportunity or quotation previously created.

Add Trouble Ticket: Generates a trouble ticket for the person.

Add Call: Generates a Phone Call for the person.

Send Email: Generates a new email to send to the person

Add Document: Allows users to add new or existing documents to the person

 

To add Persons from the main window navigate to "File -> New ->Person

 

To Delete existing Persons, edit the one you want to remove and use top menu option: File -> Delete. If the Person has active relationships of any kind with other system objects (e.g.: Person has active assets, etc…) Eritrium will not let the user remove it.
